New Feature - Cash Reconciliation
For depots that do ‘live’ pay-ins, there is now a till reconciliation. This is on a batch-number basis. It allows you to record miscellaneous cash in and out, where eg. drivers pay you for coin holders or when you pay for petty expenses out of the till. A reconciliation then shows you the total of all cash - this totals all driver cash from pay-ins and the sum of all miscellaneous cash in and out. You can also do a voucher count summary total from the reconciliation.

New Feature - Auto re-login
Where a depot has a computer that is used by a number of users, but it remains logged in as the user that initially logged it in, the auto re-login automatically forces the re-login dialogue after the number of minutes that you specify. This is on a machine by machine basis, so will only prompt for the log-in on machines that you specify.

Fixed a problem where private vehicle service scheduling where the service due record was being duplicated, instead of being updated.

Fixed a problem where clicking the blue arrow in Expenses to go to a Private vehicle took you to the incorrect vehicle.

Fixed a problem where the 'Treat Vouchers As Cash" would sometimes not be set, resulting in vouchers displaying their Off Meter total incorrectly.

Corrected the operation of PDF printing in accounts, when the print choice on the Reports is set on Screen.

Added a user preference to hide the payment details in workshop invoices.

In Workshop > Services Awaiting Completion, you are able to manually adjust the Due KM and the Due Date, but you are not able to enter the type. This is because services need to be set from the Car and some users were erroneously doing this from the workshop module, resulting in unexpected behaviour.

Added another column to Vehicle Replacement Date Report to show the Vehicle On Road Date.

Fixed a problem where the CBS or Transmission value for the driver was not showing correctly as a tooltip on the PM shift in the 1-day view of the roster.

Changed the behaviour of displaying the cost on workshop invoices.

Added account print layouts and the choice to print the account totals either as a footer at the bottom of the page, or after the last line of the invoice.

Fixed meter on/off for EFTPOS when adding EFTPOS lines to SHIFTS

Fixed an issue in Roster when clicking a roster shift to pay it, did not go to the correct screen.

Added a user setting Workshop Parts Cost View. This allows you to limit the access of viewing the cost price of parts on a workshop invoice. It is used in situations where you may be showing a customer or a rep an invoice and you want the cost to be hidden. Clicking the Line Total label hides the cost if it is visible - then shows it again if you click the Line Total label again. If the setting is not ticked in Users, clicking the Line Total label has no effect.

Changed the process of setting meter and odometer values when a shift is being created.

Fixed a problem when doing a report by an account name so that the correct invoices show.

Added a choice in roster settings so that you can choose to display either the C.B.S or the Transmission warning when allocating drivers to the roster. Also changed the label in Cars and Drivers to reflect this.

Added additional sundry income line in Profitability printout.

Added deletion log notes when regular shifts created in the driver profile are being deleted. If a single row is being deleted by clicking on the Trash Can, the date, time, user, car, day and shift are recorded. If a set of regular shifts are being deleted by clicking the Clear All button, the date, time and user are recorded.

Revised the tab order when entering driver details.

Fixed the Roster Month Grid where the AM shift of the 23rd day of the month was not displaying correctly. Also fixed the roster occupancy percent

Fixed a bug where not all outstanding pay-ins were displaying correctly on the driver printout. The small square box on the right top corner of the print-out displays the total count of all outstanding pay-ins correctly.

When putting a driver twice on the roster, the warning appears earlier, so as to make it quicker to bail out if a mistake is being made.

Added a tooltip to Driver Savings - when you hover your mouse over the Cheque Number field, it shows you who modified that record, the date and the time.

Added a trash can to the two Driver Savings portals. This allows you to change (not delete) an erroneous entry when making a pay-out to a driver, for example where you may have entered an incorrect amount. The amount is changed to zero, and a note is put into the cheque number field to show what the previous value was.

Changed the sort order of the accounts print-out to be by date, pick-up time, then car number. Previously, the printout was not sorting by car number.

In WORKSHOP, the filter page has been extended to show fleet cars as well as private cars, so that you can use the filter to find all instances of a private car registration number.

Driver Detail report has a few more fields now, along with more sorting buttons, so that you can sort by the suburb etc.

Added the notes field to the purchase order print-out so that the notes appear at the bottom of the invoice

When showing multiple groups in the roster, you can now shift-select the groups, i.e. click on one, then hold down the shift key to select the other. This means that on a user-basis, a user would be able to view multiple groups at one time, while still leaving other users able to view individual groups. This setting is remembered when navigation around and out of the roster - to revert it, simply click on the group to de-select it.

Fixed the black VISA warning box where it was not automatically being entered when a new roster is created

When a car is an ST, the colour of the actual car number will change on the roster to red. A new setting > Rosters > "Show substitute car in colour" allows you to turn this off, if it clashes with the group colour. And we all know how we can't have clashing colours in TaxiCab Manager. It is probable that this colour will be user-selectable in a later version.

When selecting a standby driver from the standby list on the allocation screen, a tooltip appears when your mouse is over each standby name showing which CBS the driver belongs to, or it shows both if applicable. The tooltip will not appear if the driver drop-down list is active - click any white space on the screen to collapse the drop-down then with your mouse over the standby driver name, the tooltip will appear.

In the roster, when clicking on the key icon, if the pick-up time already contains a time, you are warned if you want to replace the time with the current time.

Further enhancements to roster deletion process

SUBURB names for use in bookings and voucher entry are now stored in Settings > Bookings > Suburbs.

Added a drop-down list to the Batch number field when doing a Find in Shifts. Also added a Scanned/Unscanned selector so that you filter your found set by the scan status.

Fixed a problem in Accidents where if a find was unsuccessful, unexpected behaviour would occur. Also fixed the process of finding a driver who has had an accident.

Added Settings > Shifts > Shift count for list warning. As your number of shifts increases over time, the time it takes to sort the shift list in descending order increases as well. Anything over around 30,000 records will display the sorting dialogue box, which you cannot escape out of - you have to wait for the sort to finish. So, you can receive a reminder that you need to filter your record count - maybe by date, batch, driver or car number etc. when your record count is above the value which you enter in Settings.

If Roster sort by group is activated, you can temporarily select multiple groups by clicking the shift key while clicking the groups.

Added a discount field in Owners which gets applied when workshop invoices are created. The discount amount and percentage can be overwritten in the invoice. The two invoice printouts have been altered to show the discount.

SMS sending. You can send an SMS to a single driver, to any found set of drivers, as well as to send future rostered shifts to all new drivers. You can choose how many days in the future you want these rostered shifts to show.

Private vehicle SMS notification when services are due - a button on the Service Due Schedule Private report allows you to send an SMS to the owner of the vehicle advising them that the service is due.

Fixed an issue in private vehicle owners where clicking the blue arrow did not take you to the correct car screen.

Enlarged the payment terms field in Settings > Workshop - also rearranged the workshop settings to be more logical. Also enlarged the payment terms field in the invoice print-out.

Added separate workshop fields for ABN number, phone, fax and email in settings. This means you can have your workshop details totally different to your normal business settings.

Added a field to show a set number of previous days in the Cars > Shifts portal. These shift records are normally sorted most-recent first. However, over time, as more shift records are added, there is sometimes a delay while the shift records are sorted in the portal. To solve this problem, if a delay occurs, you can specify the number of days, which will eliminate the sorting delay.

The Driver Accident Summary report now shows the sum of the At-fault non-insurance claim amounts and can be sorted by any of the columns so you can quickly identify problem drivers.

Takings Hi-Lo report - added more sort fields as well as the day of the shift date.

Service Due Schedule report now displays the service time, the checklist time and the total time

When going to the next roster date, if it has not been created yet, the dialogue now gives an option for you to view the Roster Dates Created report.

Fixed a problem when duplicating a roster, if you stop the duplication, you are left on the wrong set of roster records.

Fixed a problem when deleting a roster date, if the date prior to the date being deleted did not exist.

Added to Driver fuel entry an optional display. The choices are to leave it as is, or to allow the driver to choose the type of fuel. Currently, the sections only allow one entry for Diesel and Petrol. The second choice allows the driver to choose the type of fuel, which results in more flexibility in the fuel entry. Note that drivers only have to select the fuel type on the first row. When they move to the second row and either tab over the type, or just click into the amount field, once the amount has been entered, the type is automatically filled from the previous row. (This is the same time-saving technique for drivers in voucher type and EFTPOS number)

Added a preference to hide the Expense entry field from driver entry.

Added an extra blank profitability expense, bringing the total of blank labels to seven.

Added the ability in Profitability to copy a value you have typed in to Sundry Income 1 and 2 as well as Sundry Expenses (1 to 7) to all records in the found set. For example, you might want an averaged additional expense amount to be entered for all cars for this month. You would type it into one profitability record (it doesn't matter which one), then when you click the pen icon, after warnings, this value is pasted in to all other cars.

Added another profitability layout which separates Income from Expenses in a more logical manner. Settings > Profitability > 'Show classic profitability layout' allows you to decide if you prefer the new or the 'classic' screen.

Added another profitability report - Monthly Profit Ex Tax by car

Added driver age maximums and minimums - when entering a driver into TaxiCab Manager or editing an existing driver, you are warned if their age is outside the range.

8.1172 - March 28th, 2010

Added the ability to pay a shift by clicking on the relevant line in the roster. Normally, when a rostered shift has been paid, the blue dollar symbol appears on the left of the shift if AM, and on the right of the shift if PM. I have added a small red dot to what used to be a blank white square which was where the blue dollar symbol appeared. So clicking on the red dot creates a pay-in and takes you to it. Debt and point calculations are calculated as normal.

Changed the car details printout to reflect new and added car details - and to print on one page. Also changed the shift listing on the Shift tab in the cars area. Previously, this listing was by car number, so if you released a fleet number and later re-instated that number, the shifts tab would display the old shifts of that car. Now if you create a new car with the same fleet number, it will not display old shifts belonging to the ‘ex’ car.

Changed the private car details page to stay on the selected tab after performing an action.

Added a GoTo button in Workshop to go to private cars.

Completely rewrote the driver message routines to branch according to the FileMaker version - in client versions less than version 10, after entering a driver message, it did not actually appear when the driver entered the pay-in.

Rewrote the driver transaction restriction routine to branch according to the FileMaker version - in client versions less than version 10, all users were blocked from making driver transactions if the setting was used.

Added a second driver printout that is not as condensed as the new print-out. There is now a setting > Shifts > Driver Print-out > Show expanded instead of condensed print-out which allows you to select which print-out you prefer. Panel 4 (Cash breakdown and account details) are not on the new print-out. The other panels are on the print-out.

Added a report showing ex-tax income totals grouped by car.

Fixed a problem with the License Due Listing report for drivers not displaying correctly.

Added a COPY and PASTE button to the driver message window where you have the same message that you want to send to a few different drivers, rather than to ALL drivers, using the global.

Fixed a problem with Purchase Orders where when an item on backorder was not correctly created.

CAR JOBS LISTING
You can now do a report that shows only the wheelchair jobs summary per car - the original report showing wheelchair jobs as well as other jobs still remains.

Accounts
Added a new print-out for invoices, so that DVA accounts print differently in the wide format to other accounts

Added a checkbox for account names which is INCLUDE GST. This allows you to specify where you have an account which has been quoted at ex-GST prices, so that the calculation showing the total of the invoice will ADD the GST to the job amount. Normally, the job amount includes GST, so this provides more flexibility when creating invoices.

When producing a spreadsheet from the Accounts module, the time is added to the file name, so that you can produce multiple spreadsheets for one day without having to rename each spreadsheet if you produce more than one per day.

Added a report to show totals of cash tendered by drivers to make checking of cash received easier. For example, if a batch of shifts had 5 shifts, with each driver paying in 10 x $5 notes, this report would show a total of 50 x $5 notes, with a total of $250

DRIVERS
When creating holiday days for a driver, if the driver is already on the roster for the days that you are making as unavailable, the driver is removed from the roster for the range of dates you are creating. You are given a warning first.

The driver printout now has a further option where you can display a larger amount of fuel entries.

CARS
In Reports > Cars, there are now two buttons which allow you to make bulk changes to car owners and car groups. For example, you may have an owner or group change which you forgot to apply to the car when it actually occurred. These buttons allow you to select a date range to which the change should be applied and allows you to enter the correct owner of group. The changes are then made in all of the relevant tables, such as Shifts, EFTPOS, Vouchers, Bookings, Accounts and Expenses.

Similarly, if you change the Managed status of a car, you are able to apply that change to a date range to make it retrospective.

When you have a set of linked driver shifts and the driver is cancelling the pay-in shift, the link to the pay-in shift automatically reverts back to the shift before the shift being cancelled when you click the CLEAR LINK button. In other words, if a driver was linked Monday AM to Wednesday PM, and he cancelled the Wednesday PM, when you click the CLEAR LINK button, the Wednesday AM shift becomes the pay-in shift automatically.

DRIVER ACCOUNTS
You can now 'Settle Up' a driver. If, for example the driver is leaving and has over/unders, savings or debts, you can settle up these accounts in one process, instead of having to go to each driver account and doing the transaction there.

A 'Transfer' button has also been added to driver accounts, which allows you to easily transfer monies from one account to another, so for example, you could transfer an overs amount to debts so as to reduce a debt amount.

You can now specify the look of the driver print-out by selecting radio-button choices in Settings > Shifts > Driver Print-out. You choose the placement and design of different panels, such as Vouchers, EFTPOS, Monies, Fuel, Checklist, Future shifts etc.

PRIVATE CARS
You can now enter faults for private cars directly into the private car record. A private car fault is treated differently to a fleet fault, in that it is never 'completed' as such - you enter whatever action you have taken to rectify the fault and that then becomes a permanent history of the faults of that private vehicle.

The faults tab for fleet and private cars sorts by the creation date - latest first.

NEW REPORTS

Workshop job listing by mechanic - shows percentage of labour cost for each mechanic. Can also be exported to Excel.
Parts and Labour Markup Percentages - shows for each invoice the markup of labour and parts.

SHIFTS
You can now allocate a TYPE to your EFTPOS transactions, where your vehicles offer more than one method of accepting EFTPOS payments. The reporting engine also allows you to report on your EFTPOS by type by selecting the type you wish to report on.

ACCOUNTS
You can now specify which fields are mandatory for drivers to fill in when entering account detailed dockets - the choices are Passenger Name; From; To; Hours; KM. The assumption is that the account name will always be mandatory. The setting to make ALL account fields mandatory still applies - this will override these individual account settings.

VOUCHERS
You can now specify using a Yes/No radio button if you do not want a voucher name to appear in the pull-down selection box for both driver and admin pay-in entry. Coupled with the Yes/No radio button to show the voucher name in the pay-in button selection, you now have full control over which voucher names appear in different circumstances.

To assist drivers when entering dockets and EFTPOS, two new features have been added.

1. Where a driver has many of the same type of docket, once he has entered the first type of docket and tabbed to the amount field, if he tabs into the next docket line and tabs OVER the docket type into the amount field, once he enters the amount and tabs to the next docket line, the docket type will be AUTOMATICALLY filled with the preceding docket type. This facilitates the whole process of docket entry for drivers.

2. For depots that record the EFTPOS receipt number, a similar feature has been included. Where you are wanting to record individual EFTPOS receipt numbers, rather than only the receipt of the end of shift print-out, once you have entered the first receipt number and amount, if you tab over the next receipt number and enter the amount, the subsequent recipt number is AUTOMATICALLY entered.

DRIVERS
You can now specify for individual drivers which account names will appear for selection when they are entering account dockets.

CARS
A Gas Type field has been added to car details, where you can record the LPG system if the car has it installed. This field has been added to the Rego / Plate report.

The KM/litre average field now displays on each car, instead of having to run the Car Statistics report to get this. It also shows on the Rego/Plate report. A setting field has been added to the Car Settings, where you can enter the number of days that you want the calculation to average over - eg. if you enter 30, the average is calculated over the last 30 days.

SHIFTS
The log which records all changes to pay-ins now includes tabs to include EFTPOS and Vouchers as well.
The SCAN button now records an entry in the log, so you can see when a pay-in has been scanned, unscanned or when an attempt has been made to scan a pay-in by someone who does not have access (see below)

DRIVERS
When setting up regular shifts for drivers, you can now specify a commission percentage that will apply for the day of the week and shift. This overrides the cut-off percentage if any have been set up in Settings > Baillee Fee

SHIFTS
The SCAN button on pay-ins has been modified so that only those users with the checkbox "Sensitive Shifts Access" can UNSCAN a pay-in. This means that a pay-in can be checked by any user that has access to shifts, but once SCANNED, only specified users can now make changes to the pay-in. This increases the security of pay-ins and allows you to 'lock' a pay-in once it is scanned.

ROSTERS
When putting a driver on standby, you now have the option to set up a regular schedule of standby shifts. You can still just click the button to add a driver to standby for the shift and date that you are on. But now you have choices for - the days of the weeks, AM and PM as well as a date range. For example, you can place a driver on standby for all Monday PM shifts between a date range, or for all AM shifts between two dates. This gives you extreme flexibility for the standby function.

When archiving a driver, all regular shifts for that driver are deleted, any holidays records, or standby records are deleted as well. Any rostered shifts beyond today will be cleared from the roster. Unpaid pay-ins earlier than today will be left alone - the assumption is that the driver has done the shifts and is therefore owing for these shifts. If the driver’s total owing amount is anything other than zero, the driver will still be archived - these drivers will still hold owing balances.

ACCOUNTS
A new button has been created to allow the bulk creation of invoices for all uninvoiced jobs. This prompts you for a date range - once entered, all vouchers for that date range will be added to an existing invoice if it already exists for that date range, or a new invoice will be created for that date range if it does not already exist. If the invoice has been paid, the process will not be allowed. The date range has to be within one calendar month. If the Account filter or the Group filter has been used to filter uninvoiced jobs, only those visible jobs will be bulk-created. The existing button to add jobs to individual invoices still works as usual.

ACCOUNTS CUSTOMERS
When adding an account customer you can now allocate a default group for that customer - this default is in Settings > accounts. When an invoice is raised for that customer, the customer group is automatically added to the invoice

ROSTER
The black box that indicates that a driver has a visa restriction has now been enhanced so that it shows the number of shifts worked during the calendar week (Monday to Sunday) as a white number overlayed on top of the black warning box. The accreditation area in the driver profile now has: Date Checked as well as Start and End Dates, so you can enter when the visa was checked, and when the driver is in a restricted session.

In all views, a T button between the Next and Previous buttons has been added that takes you straight to the current day, in whatever view you are on. The means of selecting a view has changed - the roster now has 4 buttons: 1, 3, 5, 7 instead of a pull-down menu. Extensive work has been done on the rosters to eliminate re-drawing of the roster screen as far as possible.

SETTINGS
You can now allocate a colour to the Roster Paid Names that you define. For example, you could define a name as Inspection and assign a red colour to it - when you allocate the roster car to Inspection, the background colour changes to red.

ROSTER
When viewing 3, 5 or 7 days, you can now choose if you want the date of the 1-day view to be in the MIDDLE of the 3, 5 or 7-day, or the FIRST date displayed on each of these views.

The printout of the 5-day roster is now enabled.

In the STANDBY screen accessed by clicking the blue ball at the top of the AM and PM shifts, there is now an option to print the standby shifts

AUSTRALIAN BANKING FILE
You can now create a file to upload to your bank, so that you can make bulk payments to drivers at one time, instead of making individual payments for each driver via the bank.

DRIVERS
You can now make a bulk change to driver levy 1 and 2 for all drivers, in the instance where you increase (or decrease) the levy for all drivers.

PAY-INS
The order of fuel entry has been changed - Litres on the left and Amount on the right. This has now also brought it into line with driver entry and other amount data entry with the amount on the right hand side.

DRIVER ENTRY
The Meter On-Off and Wheelchair Yes-No buttons can now be hidden Settings > Shifts > Field Settings > Fields

ACCOUNTS
Fleet numbers in account invoices can now be displayed as the Fleet number or the Registration number of the vehicle. Settings > Accounts

EXPENSES
In Settings > Workshop there are now check-boxes next to Consumables Fee and Environment Fee - if ticked, the amounts will be automatically added to each invoice. The normal method of clicking the labels to insert the fees into the fields while in the invoice still applies - or naturally you can just type the amounts in.



PRIOR


CASH BREAKDOWN - when drivers are entering their expected cash, if it is a positive amount, and you have allowed it in Settings, a cash breakdown will appear for drivers to enter. They simply have to click the number of notes and coins - a warning displays if the cash breakdown is not the same as the expected cash, which the driver can skip if wanted. The entire cash breakdown can be hidden in settings> driver.

DRIVERS
Driver birthday message - in Settings > Drivers you can now enter a birthday message which appears after the driver has entered his/her DA number. There is also a report showing birthdays whose month and date are within your selected date range.

Bank account details report has now been added - users can only select this report if sensitive access is ticked in their user profile

Drivers Monies Summary report - shows on one report all balances for each driver - savings, owings and debts.

Driver Standby Report - shows a list of standby drivers by date range, or selected driver.

Also in the driver profile, a new tab called ROSTER has been added - here you can see the standby shifts for a driver as well as their future rostered shifts.

When adding a standby driver, you are now able to add multiple standby drivers at once, rather than going back to the roster and clicking the standby button each time.

ACCOUNTS
You can allocate an hourly charge rate and an hourly driver rate to an account name. The driver can enter the number of hours of a job, so that the voucher amount is the hourly rate multiplied by the hours. Similarly, the bill amount is the number of hours multiplied by the hourly charge rate of that account name.

ROSTERS
When allocating a driver to the roster, if the "Driver is already allocated to a previous or next shift' warning comes up, pressing the Enter key accepts the warning - previously you had to click the Ok button with the mouse. Similarly with the 'Expired License' warning - although this was the standard behaviour with the license warning.

When clicking on a driver that is part of a link, all of the linked shifts now appear - previously you needed to click the Show All Unpaid Shifts button for this.

You can choose to show the Driver License Warning in Settings, which displays an expired license warning to the driver, as well as the warning that shows the driver is rostered on the previous or next shift.

You can now print a report listing phone number and license numbers

PROFITABILITY
If you make a change to an owner's name after a profitability record has been created, a 'swoosh' button next to the owner's name inserts the owner's name again.

ROSTERS
A settings now allows the rate column in the roster to be used as either the % commission that the driver receives, or the set pay rate. This means that on a shift by shift basis, the commission % can change - useful where a car has broken down and you want to compensate the driver. You cannot combine the two settings - it is an either-or situation.

CARS
A button in Cars called PRIVATE, allows you to create a private car for workshop jobs as well as to track service schedules for private cars. A Service Due Schedule for Private Cars has also been added to reports. When you are on the car filter page, you automatically view all active fleet cars, but you can also view only archived cars, or private cars.

A report showing insurance details for each car is now available.

SERVICE INTERVALS
If you change a part in the service build, and you are using service intervals, when you change any part detail in a service build line, all vehicles using that part in their service intervals will change as well.

ACCOUNTS
Account names can now be allocated an administration percentage fee which can be added to invoices.

The invoice and driver rate attached to each voucher can now be either fixed, or it can be set on a daily basis.
